This Privacy Policy explains what data we collect, how we use it, and your rights. DeweyIQ is a product of Coastal Bay Digital LLC.

Data we collect
Account: name, email, company, phone, billing email, payment method (via Stripe).
Customer Data (stored on behalf of pool service companies): customer records, pool metadata, service history, chemistry readings, photos, invoices, payments, messages.
Device & usage: IP, user agent, device location while a technician is actively working a route, log events. See Employee location data for what happens to technician location specifically.
Employee location data
DeweyIQ is used by pool service companies to dispatch technicians, so it handles the location of people who are at work. We treat that as its own category because it is one.
By default, technician location is not stored. While a technician has their route open in the app, their device position is broadcast live so the office can see where trucks are and so customers can get accurate “on my way” alerts. That live position is transient — it is delivered and discarded, not written to a database. It is also used, on the device, to detect arrival at and departure from a stop; what gets saved from that is the arrival and departure times, not a position trail.
An employer can turn on location history. A pool service company’s owner may switch on a setting that additionally saves a sampled position record — roughly one point every ten seconds, with the accuracy of the reading, speed, and heading — while a technician has today’s route open in the app. The setting is off unless the owner turns it on. When it is off, no such record exists.
When it is on:
- When it records: only while the technician has the current day’s route screen open in the app. Not overnight, not on days off, and not when the app is closed or backgrounded away from that screen.
- What is recorded: latitude and longitude, the reported accuracy of each reading, speed and heading where the device provides them, the time of the reading, and an identifier for the device and the technician. No audio, no camera, no contents of the phone, and nothing about non-work applications or activity.
- Who can see it: the technician can see their own history. Their employer’s owner and office staff can see it for their own organization. Other technicians cannot. No other DeweyIQ customer can. We do not sell it, share it for advertising, or disclose it to third parties except as described in Sharing & subprocessors.
- How long: 90 days, then automatic and permanent deletion. This window is fixed by the product and cannot be extended by an employer.
- What it is used for: measuring how long roads actually take to drive at different times of day, so that route planning and drive-time reporting reflect real conditions. DeweyIQ does not provide, and does not intend to provide, a per-technician movement replay, off-route detection, or idle-time monitoring built on this data.
- Notice to the technician: whenever this setting is on, the DeweyIQ field app shows the technician a notice on their route screen stating that location history is being recorded, what is kept, who can see it, and for how long.
Where employee location data is concerned, the pool service company is the employer and the controller of that data; DeweyIQ is the processor acting on its instructions (see our DPA). Several U.S. states impose notice, consent, or other conditions on workplace location monitoring. Providing the in-app notice described above does not by itself discharge an employer’s obligations under the laws that apply to them, and employers should confirm what their own jurisdiction requires. Technicians who want to know what has been recorded about them, or want it deleted, should raise that with their employer first, and may also contact legal@DeweyIQ.com.
How we use it
- Providing DeweyIQ functionality (routing, reports, billing).
- Security, fraud prevention, and service reliability.
- Customer support and direct service communications.
- Aggregate analytics (de-identified) to improve the product.
Marketing communications
If you enter your email address into a marketing form on our site (for example, the launch-offer pop-up that hands out a 10%-off code), we will:
- Store your email address, the referring page URL, your IP address and user agent, and the time of submission, so we can issue you a single-use Stripe promo code and investigate abuse.
- Send you the promo code by email, followed by occasional marketing emails about DeweyIQ (new features, launch updates, seasonal offers). We will never sell or rent your email to anyone else.
- Include a one-click Unsubscribe from marketing link in the footer of every marketing email we send. Unsubscribing stops marketing email only — transactional messages you expect from us (invoices, receipts, account notices, security alerts) will keep coming.
You can unsubscribe at any time by clicking the link in any of our marketing emails, by visiting the unsubscribe URL that was sent with your welcome email, or by emailinglegal@DeweyIQ.com and asking to be removed. We will honor the request within ten (10) business days, as required by the US CAN-SPAM Act, and sooner in practice.
Our marketing mailings are sent on behalf of Coastal Bay Digital LLC. Each commercial email includes a valid US postal address in its footer as required by the CAN-SPAM Act.
Mobile information
When a pool service company you do business with adds your mobile phone number to DeweyIQ, that number is used solely to deliver the transactional SMS your pool company has authorized — pre-arrival alerts, service confirmations, invoices, payment receipts, quote approvals, and weather-related rescheduling. We do not share mobile phone numbers or SMS opt-in / opt-out data with third parties for promotional or marketing purposes. Mobile information is not sold or rented under any circumstance. Reply STOP to any message to opt out of SMS at any time; opt-out is honored immediately and across every channel. Sharing & subprocessors
We share data only with subprocessors that help us operate — Stripe (payments), Supabase (auth + database hosting), Telnyx (SMS), Resend (email), Anthropic (AI features), Vercel (hosting). See our DPA for the full list.
Stripe has a second, separate role. If you connect payments, you hold your own Stripe account and contract with Stripe directly. For the payment data of your customers — card and bank details, payment history, and the identity and verification information Stripe collects from you — Stripe acts on your behalf under your agreements with Stripe, not as our subprocessor. We never receive or store your customers' full card or bank account numbers; those go directly to Stripe. Stripe's handling of that data is described in the Stripe Privacy Policy.
Cookies & advertising
On our public marketing site (not inside the app), we use optional analytics and advertising tools that set cookies and process limited data about your visit:
- Metricool — traffic and page-performance analytics.
- Google Ads — measures which ads bring people to DeweyIQ. When you start a trial we may send a hashed match of your email to Google to attribute the conversion. Under the CCPA/CPRA this may qualify as “sharing” for cross-context behavioral advertising.
These are off by default and only run with your consent. Google tags load in Consent Mode with consent denied until you allow the Advertising category, and Metricool isn’t loaded until you allow Analytics. Full detail is in our Cookie Policy.
Your privacy choices
You control these tools at any time from the Cookie preferences link in our website footer, or the cookie banner on your first visit. To opt out of advertising “sharing,” use the Do Not Sell or Share My Personal Information control in the footer — one click, no account, effective immediately, and the footer then confirms the opt-out is in force. We also honor the Global Privacy Control (GPC) browser signal, which automatically opts you out of advertising sharing.
Business transfers
DeweyIQ is a product of Coastal Bay Digital LLC. If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of some or all of our assets, your information — including account and Customer Data — may be transferred to the successor or acquiring entity as part of that transaction. Any successor will be bound by this Privacy Policy with respect to the data it receives, or will notify you (and, where required, obtain your consent) before your information becomes subject to a materially different privacy policy. Where the law requires it, we will honor opt-out and deletion requests you made before the transfer, and we will provide notice of any such transaction as required by applicable law.
Retention
We retain account data for as long as the account is active. Upon cancellation (by you or by us), we keep your data for thirty (30) days so you can export anything you need. After the thirty-day window, all Customer Data is permanently deleted from our primary systems. Backups are retained for an additional thirty (30) days and are then purged on rotation. Financial records required by tax and anti-fraud law (invoices, payment logs) may be retained longer in accordance with applicable legal requirements.
Technician location history, where an employer has enabled it, is deleted on its own shorter schedule: 90 days from the time of each reading, regardless of whether the account is still active. See Employee location data.
Your rights
Depending on where you live, you may have rights under CCPA, GDPR, or similar laws — access, correction, deletion, portability, and objection. Contact legal@DeweyIQ.com to exercise any right.
Children
DeweyIQ is not directed to children under 13.
